ScoutCo policies

Oct 22, 2026

These policies explain how training with ScoutCo works, from bookings and payments to privacy and safety. Please read them before you start, and ask Kirst if anything is unclear.

1. Cancellations and rescheduling

ScoutCo coaching is a 12-week service, so your fee covers the whole block whether or not you attend each session. Your membership automatically renews for another 12-week block at the end of each block, unless you or Kirst ends it.

Your session time

  • Face-to-face clients have one set session time each week or fortnight, depending on your contract.

  • That time is held just for you for the 12 weeks. There are no other regular session times.

If you can't make it

  • Let Kirst know as early as you can.

  • You pay for the session whether you attend or not. Missed sessions aren't refunded or credited.

  • Kirst may be able to fit in a make-up session if there's space, but it isn't guaranteed. The more notice you give, the better the chance.

If Kirst cancels

If Kirst needs to cancel, your session will be rescheduled, or refunded pro-rata if a new time can't be found. This is the only time sessions are rescheduled or refunded.

Online clients

Online programs aren't time-booked, so this covers booked check-in calls. Please reschedule calls using the link in your booking email, with as much notice as you can.

Unwell?

Please stay home if you're contagious and let Kirst know. The make-up session rule above still applies.

2. Payments and refunds

You sign up for a 12-week strength and conditioning service, and the price is for the whole service, not per appointment. Nothing in this policy takes away your rights under Australian Consumer Law.

How pricing works

  • The price covers the full 12-week block of coaching, including your program, any face-to-face sessions, check-ins, coaching calls and the ScoutCo app.

  • You can pay in one of two ways:

    • Upfront: an invoice for the full cost of the block at the start, paid by bank transfer.

    • Weekly or fortnightly: an equal share of the block price, charged automatically through the Acuity booking system (payments processed by Stripe).

  • Paying weekly or fortnightly is just a payment option for your convenience. It doesn't make the service pay-per-session.

  • All payments for the block are due whether or not you attend every session.

  • ScoutCo isn't registered for GST, so no GST is charged.

Refunds

  • Refunds aren't given for missed sessions, or for change of mind once a block has started.

  • If Kirst cancels a session and a new time can't be found, it's refunded pro-rata.

  • If a service isn't delivered as promised, talk to Kirst. You'll get a fix, a credit or a refund, as Australian Consumer Law requires.

Renewing

At the end of each block you will be signed up for the next 12 weeks. If you don't want to renew, please let Kirst know at least 2 weeks before your block ends.

Missed payments

If a payment doesn't go through, Kirst will let you know. Sessions may be paused until the account is up to date.

Price changes

New prices only apply from your next block, and you'll be told at least 4 weeks before.

Remedial massage

Health fund rebates aren't available for ScoutCo remedial massage at this time.

3. Privacy

ScoutCo collects only what it needs to coach you safely, keeps it private, and never sells it. Because ScoutCo holds health information, it follows the Australian Privacy Principles in the Privacy Act 1988.

What we collect

  • Contact details (name, email, phone), for bookings, reminders and payments.

  • Health information (intake form, injuries, medical conditions, massage and training notes), to keep training and treatment safe.

  • Training data (sessions ticked off, weights, PBs, comments, weekly check-ins such as sleep, energy, soreness and bodyweight), to write and adjust your program.

  • Profile (photo, date of birth, goals, hobbies, favourite food), so Kirst can get to know you and celebrate wins within the ScoutCo Community.

  • Videos and photos (session videos, form-check videos, Lift Club photos), for coaching feedback and the community.

  • App usage (when you last opened the app, notification settings), to keep the app working.

Where it's stored

  • Your app data is kept in ScoutCo's private Google account (Google Sheets and Google Drive). Google may store data on servers outside Australia.

  • Push notifications are sent through OneSignal, which only receives an anonymous ID, not your name or health details.

  • Bookings and weekly or fortnightly payments go through Acuity Scheduling, with card payments processed by Stripe. ScoutCo never sees or stores your full card number.

Who sees it

  • Only Kirst (and any ScoutCo coach working with you) sees your program, check-ins, health information and form videos.

  • Other Lift Club members see what you choose to post there: your first name, last initial, profile photo, posts, replies and photos.

  • Your private app link is like a key. Please don't share it. Videos are stored as unlisted links, so anyone who has the exact link could view them.

  • We'll only share your information with others if you agree (for example, with your physio or GP), or if the law requires it.

Photos and videos in ScoutCo media

If you've agreed to it in your contract, you may be featured on ScoutCo's official media channels, such as the website and social media, for promotional material. You can opt out at any time by simply asking Kirst.

Your choices

  • You can ask to see or correct your information at any time.

  • You can ask for your photos, videos or posts to be removed, and you can delete your own Lift Club posts in the app.

  • When you stop training with ScoutCo, your app access is turned off. Records are kept for 7 years (as health records need to be), then deleted.

  • Photos and videos are deleted within 3 months unless you ask to keep them.

If something goes wrong

If there's ever a data breach that could harm you, Kirst will tell you as soon as possible and report it as the law requires.

Questions or complaints

Contact Kirst at Kirsty@scoutco.com.au. If you're not happy with the answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

4. Health, injury and safety

Every new client completes ScoutCo's own pre-screening intake form before their first session, and you agree to tell Kirst about any change in your health.

Before you start

  • Fill in the ScoutCo intake form honestly and fully.

  • If you have any underlying or acute health issues that impact training, it's your responsibility to seek medical advice.

  • Clients under 18 need a parent or guardian to complete the intake form and agree to these policies.

During training

  • Tell Kirst straight away about any pain, dizziness, shortness of breath or anything that doesn't feel right. Stop if something hurts.

  • Let Kirst know about new injuries, illnesses, medications or pregnancy, so your program can be changed.

  • Online clients train on their own, so warm up, use safe equipment and a clear space, and only lift weights you can control. If you're unsure about a lift, send a form video before going heavier.

Understanding the risks

Strength training and remedial massage are safe for most people and have big health benefits. Like any physical activity, they carry some risk, such as muscle soreness, strains, sprains and, rarely, more serious injury. Kirst will always coach you to train safely and adjust to how you're feeling. You're responsible for training within your limits, following the program as written, and giving accurate health information.

What ScoutCo isn't

ScoutCo coaching isn't medical advice and doesn't replace your doctor, physio or dietitian. Nutrition guidance is general healthy-eating advice only. Mindset coaching supports your training and wellbeing, but isn't counselling or psychological treatment.

Kirst's qualifications

  • Provide First Aid and Provide CPR (HLTAID011)

  • Australian Strength and Conditioning Association (ASCA) Coach Level 1

  • Certificate IV in Fitness

  • Bachelor of Science in Psychology with Honours

  • Diploma of Remedial Massage Therapy

  • Queensland blue card (Working with Children Check)

ScoutCo holds professional indemnity and public liability insurance covering personal training, remedial massage and coaching.

Your rights

Nothing in this policy limits your rights under Australian Consumer Law, including if an injury is caused by ScoutCo's negligence.

5. Lift Club community guidelines

Lift Club is a place to cheer each other on, so keep it kind, safe and supportive.

Do

  • Celebrate wins, PBs and showing up, big or small.

  • Share tips, questions and the occasional gym selfie.

  • Be encouraging. Everyone started somewhere.

Don't

  • Comment on anyone's body, weight or appearance, or compare people.

  • Post anything rude, bullying, discriminating, sexual or threatening.

  • Share other people's photos, names or details without their OK.

  • Give medical or injury advice. Point people to Kirst or a health professional instead.

  • Advertise or sell things.

  • Screenshot or share other members' posts outside the app.

Privacy on the board

Everyone in Lift Club can see your posts, replies and photos, shown with your first name and last initial. Only post what you're happy for the group to see. Videos aren't allowed on the board; send form videos to Kirst privately instead.

If something's not OK

Message Kirst. She can hide any post, and you can delete your own posts any time. Anyone who doesn't follow these guidelines may get a reminder, have posts removed, or lose access to Lift Club.

6. Terms of service

By booking with ScoutCo or using the ScoutCo app, you agree to these terms and the policies above.

Who we are

ScoutCo (Scout Coaching & Therapy) is run by Kirst in Logan, Queensland. ABN 67 991 210 286. Contact: Kirsty@scoutco.com.au.

What you get

  • 12-week blocks of strength and conditioning coaching (face to face or online), mindset coaching and consultation, remedial massage, and access to the ScoutCo app, depending on your contract.

  • Programs are written for you. Please don't share them, and don't share your private app link.

Your part

  • Complete the intake form and keep Kirst updated on your health (see Health, injury and safety).

  • Turn up to your set session time, and pay for your block as agreed (see Cancellations and Payments).

  • Treat Kirst and other clients with respect, in person, online and in Lift Club.

The ScoutCo app

  • The app is provided as part of your coaching service. Kirst will try to keep it running smoothly, but it may sometimes be unavailable or change.

  • Your access ends when you stop training with ScoutCo.

Ending the arrangement

You commit to one 12-week block at a time and can choose not to renew at the end of any block. ScoutCo may stop working with a client who repeatedly doesn't follow these policies, or if continuing isn't safe, and will give notice and refund any unused sessions pro-rata.

Changes to these policies

If these policies change, clients will be told on ScoutCo's social media and in the ScoutCo app at least 14 days before the change takes effect.

Consumer law

Nothing in these terms excludes or limits your rights under the Australian Consumer Law. These terms are governed by the laws of Queensland.
